If your team is still asking colleagues to “save it on the shared drive”, there is a good chance the real issue is not storage. It is access, version control, security, and the daily friction that builds up when people work across offices, sites, and home. That is why so many organisations now ask the same question: can SharePoint replace network drives?
The short answer is yes, often it can. But not in every case, and not as a straight like-for-like swap.
A traditional network drive was built for a world where most people worked on-site, on company-managed devices, connected to the same local infrastructure. SharePoint belongs to a different model. It is designed around collaboration, cloud access, permissions, integration with Microsoft 365, and a more flexible way of working. If your organisation wants staff to co-author files, find documents quickly, and work securely from different locations, SharePoint is usually the stronger platform.
That said, replacing network drives successfully depends on what your teams store, how they use it, and how much structure exists in your current file estate. A poor migration can simply move an old mess into a new system.
Can SharePoint replace network drives for every business?
Not every business, and not every workload. That is the part often missed.
SharePoint works very well as a document management and collaboration platform. It is particularly strong for Office files, policy libraries, operational documents, project folders, HR records, controlled templates, and shared team information. It also gives you version history, file recovery, granular permissions, metadata, search, and access through Teams and OneDrive. For many small and mid-sized organisations, that covers the majority of day-to-day file sharing needs.
Where it can be less suitable is in situations involving very large files, specialist line-of-business applications that expect a mapped drive, heavy CAD workflows, or legacy systems tied closely to on-premise file paths. Manufacturing firms, design teams, and some public sector environments still encounter these edge cases. In those situations, the answer may be a hybrid model rather than a full replacement.
The key point is that SharePoint should not be judged as if it were just another drive letter. It is not trying to be a better S: drive. It is a different way of managing shared information.
Why many organisations move away from network drives
The main problem with network drives is not that they stop working. It is that they stop working well enough.
Over time, shared drives tend to become sprawling folder structures with inconsistent naming, duplicate files, unclear ownership, and permissions that have evolved through years of quick fixes. People save local copies because they do not trust what is on the server. Teams email attachments back and forth because finding the latest version takes too long. Remote access often feels clumsy or introduces security concerns. None of this is unusual.
SharePoint addresses many of those issues by changing the operating model. Files can be accessed securely through Microsoft 365, users can work on the same document at the same time, and version history reduces the risk of losing changes or relying on final_v3_revised type file names. Search is also far more powerful when content is structured properly.
For organisations already paying for Microsoft 365, there is another practical benefit. In many cases, SharePoint is available within the licensing they already hold, which makes it a more cost-effective route than maintaining ageing file server infrastructure without a clear business case.
What SharePoint does better than a network drive
The biggest advantage is collaboration. In a network drive environment, shared working often means someone opens a file, someone else gets locked out, and a third person saves a separate copy on their desktop. In SharePoint, multiple users can work in the same document at once, especially across Word, Excel and PowerPoint.
Security is also easier to manage well when the platform is planned properly. You can define access at site, library, folder, or file level, and align permissions with teams or roles. Combined with Microsoft 365 controls such as multi-factor authentication, conditional access, and retention policies, SharePoint can form part of a more mature security posture than a traditional file share alone.
It also supports business continuity. If an on-premise file server fails, the impact can be immediate and disruptive. Cloud-based document access reduces reliance on a single office or server room. For organisations thinking about resilience, disaster recovery, or flexible working, that matters.
Then there is governance. SharePoint gives you the ability to apply structure, ownership and lifecycle management to information. That is especially useful for schools, charities, manufacturers and public sector organisations that need documents retained, reviewed or restricted with more discipline.
Where SharePoint can fall short
None of this means SharePoint is automatically the right answer for everything.
Performance can be an issue if users try to treat SharePoint exactly like a local file server, especially with very large volumes of files or deeply nested folder structures. Syncing entire libraries to Windows devices can create confusion if it is not managed properly. Users may think files are local when they are not, or create offline conflicts if devices are poorly configured.
There is also a change management issue. Staff who are comfortable with mapped drives may find the move frustrating if they are not shown a better way to work. SharePoint rewards good information architecture. If the migration simply recreates a messy drive structure in the cloud, users may see little benefit.
Legacy application dependencies are another common blocker. Some older software platforms store data in ways that rely on direct file paths or local network performance. Those systems may need to remain on a file server, be modernised, or be separated from general document storage.
This is why the better question is often not “can SharePoint replace network drives” but “which parts of our network drives should move to SharePoint, and what needs a different plan?”
How to decide what should move
A sensible decision starts with usage, not preference.
Look at what is actually stored on your network drives. Which files are active? Which teams use them? Which are shared regularly, and which are simply archived? You will usually find that a large proportion of content is either redundant, duplicated, or no longer needed. Moving all of it adds cost and complexity without much value.
Next, review business processes. Departmental documents, collaborative files, templates, board papers, policies and project content are typically strong candidates for SharePoint. Specialist application data, large engineering files, machine output folders, and legacy software repositories may need to stay elsewhere.
Permissions should also be reviewed before migration, not after. Network drives often carry inherited access rules that nobody has checked for years. A move to SharePoint is a good point to reset access around real responsibilities rather than old folder history.
For many organisations, a phased approach works best. Move one department or one document class first, test the structure, train users, and refine the model before rolling it out more widely.
Planning the move properly
A successful migration is less about copying files and more about designing a better working environment.
That means deciding how sites should be structured, whether libraries need metadata, how permissions should be applied, and how documents will be found and managed over time. It also means setting clear rules on when to use SharePoint, when to use OneDrive, and when Teams is the right front end for collaboration.
User adoption matters just as much as technical setup. Staff need to understand what is changing and why. If they see SharePoint as an IT-led storage project, engagement will be low. If they see that it reduces duplication, makes remote access easier, and helps them find the right version of a document quickly, adoption improves.
